Privacy policy.

The Luc Cochran Foundation (TLCF) values the privacy and trust of all individuals associated with our organization, including staff, volunteers, participants, donors, and community members. We are committed to safeguarding your personal information and ensuring transparency regarding how we collect, use, store, and protect your data. This Privacy Policy explains our practices regarding your personal information and your rights under applicable privacy laws.

Information we collect

TLCF may collect personal identification details (including name, address, phone number, email, date of birth, emergency contact details, and other information necessary for participation), demographic information (such as age, gender, race or ethnicity, language preference, and household income when relevant for eligibility), program participation information (including event registrations, attendance records, and feedback), financial data (processed securely for donations, payments, and receipts), photos and videos captured at events or programs (for use in marketing, outreach, and documentation), and website usage data (including IP addresses, browser types, pages visited, time spent, and device details).

How we use your information

We use this information to provide and tailor programs and services, communicate with you regarding events, updates, and opportunities, process donations and financial transactions, ensure safety and legal compliance, and—when you consent—share marketing and promotional content about TLCF initiatives. We may also feature your photographs or videos in promotional materials, newsletters, reports, social media, or grant-related content unless you notify us in advance that you do not wish to appear.

SMS and mobile messaging

No mobile opt-in or text message consent will be shared with third parties or affiliates. How we share information

TLCF does not sell or rent your information but may share it with trusted service providers (such as payment processors, IT and hosting vendors, and marketing partners), affiliated organizations collaborating on programs (such as partner charities, educational institutions, or event sponsors), or legal and regulatory authorities when required to protect rights, respond to legal requests, or comply with applicable laws.

Children, students, and guardian consent

TLCF serves youth, and some programs collect information about participants under 18. Enrollment of a minor requires the consent of a parent or legal guardian, who may review, correct, or request deletion of their child's records and may withdraw consent for photography, video, or promotional use at any time. We do not knowingly collect personal information from children online without guardian involvement.

Tutoring and education-related records—such as attendance, assignments, progress notes, assessment results, and teacher or school communications—are treated as confidential student records. They are accessible only to assigned staff and trained tutors with a legitimate need, and are shared with a school, district, or outside provider only with written guardian consent or where required by law.

Case notes, eligibility, and sensitive information

Some programs collect sensitive information to determine eligibility or provide appropriate support, including household size and income, housing or food-security status, dietary and allergy information, disability or accommodation needs, and emergency contacts. This information is used only to deliver services, coordinate referrals, meet grant and audit obligations, and keep participants safe. Access is limited to staff and volunteers who need it for their role, and all volunteers with access to participant information sign a confidentiality agreement.

TLCF staff and volunteers may be required by Georgia law to report suspected abuse, neglect, or an imminent threat of harm. In those circumstances information will be disclosed to the appropriate authorities without prior consent.

Partners, referrals, and data sharing

When we refer a participant to a partner organization, or receive a referral from one, we share only the minimum information necessary to complete the referral, and only with participant or guardian consent except where disclosure is legally required. Partners, sponsors, host sites, and corporate volunteer groups are required to protect any participant information they receive, use it solely for the agreed purpose, refrain from further disclosure or marketing use, and follow any signed data-sharing agreement. We do not provide donor or participant lists to sponsors, and we do not sell personal information.

Security and retention

To secure your data, TLCF uses encryption, firewalls, antivirus protection, and restricted access policies, though no system of digital storage or transmission can be guaranteed fully secure. We retain your information only as long as necessary for the purposes outlined in this Privacy Policy or as required by law, after which it is securely deleted or anonymized.

Your rights

Under applicable privacy laws, you have rights to access, correct, or delete your data, as well as to opt out of marketing communications and request restrictions on certain uses of your information.
